Purpose of the job: The Patient Care Coordinator acts as an assistant to the Administrative Team. Many of the clinical team member’s day-to-day operational duties may be transferred to this person who works under the direction of the Doctor and reports to the Doctor and Administrative leader. The Patient Care Coordinator also helps with the activities of both Patient Care and clinical teams as needed by each.
*Responsible for understanding all office operations and clinical systems in order to assist with the patients care as needed.
*Conduct dental patient relations, explain treatment options to patients and assist our patients in determining what option is best for them.
*Consult with patients regarding diagnosed treatment. Discuss treatment options, establish treatment schedules, prepare and review financial arrangements with patients.
*Have the ability to answer confidently and honestly our patient’s top three questions regarding treatment: “Do I really need it?”, “Is it going to hurt?” and “Can I afford it?”
*Monitor each patient’s progress to ensure completion of dental treatment plan.
*Monitor and track patient treatment plan diagnosed and accepted on appropriate monitors.
*Communicate effectively knowledgeable information regarding various insurance plans, fee schedules, exclusions and limitations.
*Assist in applying for financing options i.e. Care Credit, Compassionate lending
*Ensure that all forms and consents for case acceptance have been discussed and signed by patient/guardian.
*Submit and monitor progress for insurance predeterminations. Notify patient when we receive them along with estimated patient portions.
*Secure deposits for reservations two hours or longer.
*If indicated, set up appointment for patient with specialist. Coordinate with specialist’s office; send explanatory letter, x-rays, study models, etc.
*Make sure that our office knows exactly where the patient is in their treatment at all times. For example, treatment coordinator should know whether patient has scheduled treatment, scheduled with specialist, deferred recommended treatment, etc. and be aware of what the next step is and when it will occur.
*Verify insurance benefits for all patients on the schedule at minimum two days prior to reserved appointment.
*Communicate openly and honestly if there are changes in patients plan that would alter coverage or covered portions.
*If patient has deferred treatment, coordinate follow-up.
*Educate our patients about the health risks of not receiving proper treatment.
*Assist Scheduling Coordinator when requested by Doctor or Scheduling Coordinator.
*Help make sure all new Patients understand all the paperwork that is needed in regards to their insurance plans and our financial arrangements.
*Assist Hygiene Scheduling Coordinator when requested by Doctor or Hygiene Scheduling Coordinator
*Produce report on number of patients leaving the practice, and the reason for leaving.
*Participate in morning and Team meetings.
*Help greet patients and visitors.
*Help answer the telephone and take messages.
*Help coordinate patient flow.
*Other duties may be assigned
*Prior dental office experience is required
*Highly motivated and organized
